# Close CRM Reporting for Outbound: Reports & Metrics

GenFlows Team · Oct 8, 2026, 11:50:47 AM · 9 min read

TL;DR

- **Close ships a focused set of reports:** Activity Overview, Activity Comparison, Sent Email, Status Change, Opportunity Funnels, Opportunity Pipeline and List, plus the Explorer chart builder.
- **Email reporting is gated.** Close's pricing page lists the Sent Email report on Growth and Scale, and Explorer custom graphs are Scale only.
- **The Sent Email report covers sent, opens and responses per template.** Out-of-office auto-replies are excluded. We could not confirm click reporting.
- **There is no confirmed built-in "meetings booked" metric.** Log meetings as a Custom Activity or custom field and report on that.
- **Exports are Admin-only,** cover leads, contacts and opportunities, and skip activities by default.

Close is built for sales teams that live in the inbox and on the phone, so its reporting leans toward activity and pipeline rather than marketing attribution. For an outbound team that is mostly what you need: are reps doing the work, are replies coming back, and are leads turning into opportunities. The catch is that the answers sit in different reports, and some are locked to higher plans.

This guide maps each Close report to the outbound question it answers, flags what the plans gate, and shows how to measure the metrics Close does not track natively, like meetings booked. If you are still deciding on the CRM, start with our [Close CRM vs HubSpot comparison](https://www.genflows.com/blog/close-crm-vs-hubspot-outbound-sales-teams-2026).

*Sourcing note: report descriptions come from Close's help center and pricing page, as read on 8 October 2026. Close's help pages are not dated, and at least one (Activity Overview) looked older, so menus may have changed. Plan gating comes from Close's pricing page. Anything we could not confirm is marked **(directional)**.*

## The Short Answer

Use **Activity Overview** to see rep effort, **Sent Email** to see which templates earn responses, **Status Change** and **Opportunity Funnels** to see where leads stall, and **Explorer** if you are on Scale and need custom cuts. Everything Close does not track natively, such as meetings booked or results by campaign, you can approximate with Custom Activities and custom fields, as long as your team fills them in consistently.

## Close Reports Mapped to Outbound Questions

| Report | Question it answers | Where it lives |
| --- | --- | --- |
| **Activity Overview** | Who is doing the work, and how much call time? | Reports; listed on all plans |
| **Activity Comparison** | Is this month better than last, per rep or team? | Reports |
| **Sent Email** | Which template gets opens and replies? | Reports; Growth and Scale |
| **Status Change** | How do leads move through statuses over time? | Reports |
| **Opportunity Funnels** | Where do opportunities drop off? | Reports; listed on all plans |
| **Opportunity Pipeline / List** | What is open, and what is it worth? | Reports |
| **Explorer** | Any custom metric by field or user over time? | Scale only |
| **Smart Views + Export** | Which leads match this rule, and can I take them out? | Leads search; Admin export |

## Activity Overview: Is the Team Doing the Work?

Activity Overview shows team phone time, the distribution of customer data attributes and a ranking of reps by closed deal value, with metric tiles and a leaderboard. You can filter by user (all, all active, all inactive or individuals) and by date range, and once you pick a range other than All Time you can add a comparison range, which shows the percentage change on each tile. You can also filter by Smart View and save the whole configuration.

Two details are useful. Removed users show as Inactive and their historical data stays in the report. And the leaderboard ignores the user filter while still respecting date, comparison range and Smart View. Because Smart View filtering works here, a view like "Cold outbound, Q4 list" gives you effort numbers for just that campaign. Our [Smart Views guide](https://www.genflows.com/blog/close-crm-smart-views-outbound-2026) has the filter recipes.

## Sent Email Report: Which Templates Earn Responses?

The Sent Email report shows emails sent, opens and responses, as counts and percentages, in total and per Email Template. Detected auto-replies such as out-of-office messages do not count toward opens or responses, which keeps response rates from being flattered by bounces back. Close positions it for A/B testing subject lines and content across templates. Clicking a number searches Close for the matching leads, so you can go from a stat straight to the people behind it.

On plans, Close's pricing page lists the Sent Email report, email template performance, workflow performance and the leaderboard under Growth and Scale. Open tracking itself is listed from Essentials up. Click tracking is not mentioned on the report's help page, so we cannot say Close reports clicks **(directional)**.

**Treat open rates as a soft signal.** Opens depend on a tracking pixel, and mail clients that pre-load images can inflate them. Judge templates on responses first. See our explainer on [Apple Mail Privacy Protection and cold email opens](https://www.genflows.com/blog/apple-mail-privacy-protection-cold-email-2026).

## Status Change, Funnels and Pipeline: Where Do Leads Stall?

The Status Change report tracks how many leads sit in each status over time and how they end up as won or lost opportunities. It answers whether leads are sitting too long in a status like "Contacted". The Opportunity Funnels report shows opportunity performance over a chosen time range. Close's API distinguishes created-cohort and active-stage-cohort funnel types, but that comes from the developer docs rather than the app, so check which view your UI shows **(directional)**. The Opportunity Pipeline gives a kanban view for projecting open deals, and the Opportunity List is a sortable, filterable list by date, user, pipeline and status.

If statuses are inconsistent, these reports lie. Agree a short list of lead statuses and when each applies, and enforce them with [Close Workflows](https://www.genflows.com/blog/close-crm-workflows-sequences-outbound-2026) where you can.

## Explorer: Custom Charts (Scale Only)

Explorer builds line and bar charts. The y-axis is a metric, the x-axis is a field, and a third dropdown splits the series by a dimension such as User. Granularity is automatic: hourly for three days or less, daily up to 60 days, weekly up to 366 days, monthly up to 1,000 days and quarterly beyond that.

The limits matter for outbound. Only numeric custom fields appear as y-axis metrics. Text custom fields, and choice fields with more than 10 options, cannot go on the x-axis in the UI, though the API allows any custom field. Close's help page describes Explorer as a Scale feature. If you are not on Scale, the reporting API is the alternative, since it has endpoints for activity, funnels, sent emails and status changes that can feed an external dashboard.

## Measuring the Outbound Metrics Close Doesn't Track

| Outbound metric | Where to read it in Close | Confidence |
| --- | --- | --- |
| Emails sent, opens, responses by template | Sent Email report | Documented |
| Calls and phone time per rep | Activity Overview, filtered by user and date | Documented |
| Leads moving to new statuses | Status Change report | Documented |
| Opportunities created by rep | Opportunity List, or Explorer on Scale | Our inference **(directional)** |
| Meetings booked | Log as a Custom Activity or a custom field, then report on it | Our workaround **(directional)** |
| Results by campaign or lead source | A custom field plus Explorer or a Smart View | Our workaround **(directional)** |

The honest gap is meetings booked. We found no native metric for it. The practical fix is a Custom Activity for "Meeting booked", or a custom field such as "First meeting date", filled by your calendar tool or a workflow, then reported through Explorer or a Smart View. The same pattern works for campaign or source: add a custom field at import and report on it. For turning these counts into a cost view, see [cold email cost per meeting](https://www.genflows.com/blog/cold-email-cost-per-meeting-budget-2026) and the wider [RevOps dashboard guide](https://www.genflows.com/blog/revops-dashboard-metrics-how-to-build-2026).

If LinkedIn is part of your outbound, its activity will only appear in Close if you sync it in. Our [HeyReach and Close guide](https://www.genflows.com/blog/heyreach-close-crm-integration-2026) and [cold email integration guide](https://www.genflows.com/blog/close-crm-cold-email-integration-2026) cover that.

## Exporting Your Data

Close exports leads, contacts or opportunities as CSV or JSON, with common or all fields. The download arrives as an emailed link that expires after seven days, and exporting is an Admin permission. Activities are not included by default. Exporting opportunities from the Leads page returns opportunities for leads matching the search, so use the Opportunities page export if you need to filter on opportunity fields. You cannot export from a Smart View on the Contacts tab, only the Leads tab. Whether charts and reports themselves export to CSV we could not confirm **(directional)**.

## Benchmarks: What to Compare Against

Close will give you your own response rate per template, but not whether it is good. For reference points, see our [B2B outbound benchmarks](https://www.genflows.com/blog/b2b-outbound-benchmarks-2026-reply-rates), and read your numbers against your own prior months before anyone else's.

## Frequently Asked Questions

### Which Close plan do I need for outbound email reporting?

Close's pricing page lists the Sent Email report on Growth and Scale. Open tracking is listed from Essentials up. Check your own account, since plan names and contents change. Our [Close CRM pricing guide](https://www.genflows.com/blog/close-crm-pricing-2026) covers the tiers.

### Does Close track replies to cold emails?

The Sent Email report shows responses alongside sent and opens, per template. Detected auto-replies like out-of-office messages are excluded from both opens and responses.

### Can I build custom reports in Close?

Yes, with Explorer, which builds line and bar charts by metric, field and user. Close's help page describes it as a Scale feature. Only numeric custom fields work as y-axis metrics.

### Can I filter Close reports by rep or Smart View?

Activity Overview supports filters by user, date range and Smart View, plus a comparison range, and you can save the configuration. Other reports have their own filters, such as date, user, pipeline and status on the Opportunity List.

### Can I export data from Close?

Yes. Admins can export leads, contacts or opportunities as CSV or JSON. The file arrives as an emailed link that expires after seven days, and activities are excluded by default.

### How do I track meetings booked in Close?

We found no native meetings-booked metric. Log each meeting as a Custom Activity or fill a custom field such as first meeting date, then report on it with Explorer or a Smart View. This is our suggested workaround, so test it in your account first.
