# Close CRM Workflows for Outbound: Setup & Limits

GenFlows Team · Oct 6, 2026, 1:41:00 PM · 8 min read

TL;DR

- **Close's automation is called Workflows,** and it covers email, SMS, call and task steps. Older docs URLs still say "sequences".
- **Workflows need Growth or Scale.** Close's docs say they are not on Solo or Essentials.
- **Set a goal on every outbound workflow.** Goals (incoming email, SMS or call, meeting booked, status change) pause the run when the prospect engages.
- **Close sets no email cap of its own.** Your mailbox provider's limits apply, so cold volume still needs several mailboxes.
- **No LinkedIn step is documented.** Run LinkedIn in a separate tool and sync it in.

Close is built for teams that sell by sending and calling, and its automation is the part that makes that scale. Most outbound teams either under-use it or set it up in a way that keeps emailing people who already replied.

This guide covers how Close Workflows work for outbound, which plans include them, the settings that matter, and where they stop. For a head-to-head with HubSpot, see our [Close vs HubSpot comparison](https://www.genflows.com/blog/close-crm-vs-hubspot-outbound-sales-teams-2026), and for connecting a dedicated sending tool, our [Close CRM cold email integration guide](https://www.genflows.com/blog/close-crm-cold-email-integration-2026).

*Sourcing note: Workflow behaviour comes from Close's help center pages on Workflows, sending email and workflow reporting, and plans from Close's pricing page, all read on 6 October 2026. We found no HubSpot limits from HubSpot's own docs in this research, so we make no numeric HubSpot comparison. Anything we could not confirm is marked **(directional)**.*

## The Short Answer

Use Close Workflows for the parts of outbound that mix email with calls and tasks, and always attach a goal so a reply stops the run. Keep volume cold-email-safe by sending from several mailboxes, because Close adds no sending allowance beyond your mailbox provider. If you need LinkedIn steps, run them in a LinkedIn tool and sync the activity in rather than waiting for a native step.

## What a Close Workflow Can Do

Close's help center describes a Workflow as an automated series of steps run against leads or contacts. Older pages and URLs call the same thing a sequence, so you will see both words in guides and in the docs address. The settings below are the ones that decide whether it works for cold outbound.

| Setting | What Close's docs say | Why it matters for outbound |
| --- | --- | --- |
| **Step types** | Email, SMS, call, task creation and assignment, lead updates, opportunity creation | One flow can mix email touches with call tasks |
| **Delays** | 1 minute up to 365 days, in minutes, hours or days | Tight early follow-ups, long nurture gaps |
| **Send window** | Default Mon–Fri, random time 9AM–4PM in the contact's timezone; customisable | Looks less robotic than a fixed send time |
| **Blackout dates** | Block automated email and SMS steps only | Calls and tasks still fire, so check them |
| **Enrollment** | Manual, bulk from list views, or automatic by trigger | Triggers can come from form submissions and CRM events |
| **Run mode** | Run Once is the default for workflows with communication steps; Run Multiple is explicit | Stops accidental re-sends to the same contact |
| **Recipient** | If empty, the lead's Primary Contact is used | Set the recipient deliberately on multi-contact leads |

## Goals: Stop Emailing People Who Replied

The most important setting is the goal. Close's docs list six goal types, and a run pauses when its goal is met. Without one, a workflow keeps going after a prospect has replied, which is the fastest way to annoy a warm lead.

| Goal | Pauses the run when | Use it for |
| --- | --- | --- |
| Incoming email | The contact replies by email | Every cold email workflow |
| Incoming SMS or call | The contact texts or calls back | Multi-channel workflows |
| Meeting booked | A meeting is booked | Stops chasers after a booking |
| Lead status change | A rep changes the lead status | Manual qualification, not-interested |
| Outcome met | A custom outcome is reached | Opportunity created, demo held |

For cold email, set the goal to incoming email at minimum, and add meeting booked if you book calls through a scheduling link. Most communication goals need a recipient contact on the lead, so check that every enrolled lead has one. See our [follow-up cadence guide](https://www.genflows.com/blog/cold-email-follow-up-sequences-cadence-templates-2026) for the timing to build into the steps.

## Which Plan You Need

| Plan | Annual / monthly per user | Workflows | Bulk email | Dialer |
| --- | --- | --- | --- | --- |
| Solo | $9 / $19 | No | No | Standard calling |
| Essentials | $35 / $49 | No | No | Standard calling |
| **Growth** | $99 / $109 | Yes | Yes | Power dialer |
| **Scale** | $139 / $149 | Yes | Yes | Predictive dialer **(directional)** |

**Pricing changes.** The prices above were read from Close's pricing page on 6 October 2026. Confirm them before you budget, and see our [Close CRM pricing guide](https://www.genflows.com/blog/close-crm-pricing-2026) for the full cost picture including calling and add-ons.

## Sending Limits and Mailboxes

Close's docs say it sets no sending cap of its own. Email goes through your connected SMTP, Gmail or Office 365 account, so your provider's limits apply. Close also warns that sending more than 1,000 emails in 24 hours may make your email server halt outbound mail, and suggests a bulk email service for high volume. Email steps follow your overall sending limits, and other email activity can delay them.

Each user must also turn on "Allow automated Workflows to send on your behalf" in Settings, and the default email account is set under Settings, then Email. In practice, that means cold outbound should be split across several warmed mailboxes rather than one connected account. Our guides on [how many domains and mailboxes you need](https://www.genflows.com/blog/how-many-domains-mailboxes-cold-email-2026) and [domain and mailbox rotation](https://www.genflows.com/blog/cold-email-domain-mailbox-rotation-2026) cover the sizing.

## Reporting and What to Measure

Close's workflow reporting shows runs completed, percentage of goals met, average time to goal, bounce and error rates, and response by step. Open rates are left out on purpose.

**Open rates are deliberately left out of Close's workflow reporting,** because of Apple Mail Privacy Protection. Judge a workflow on replies, goals met and bounces instead. We cover why in our [Apple Mail Privacy Protection guide](https://www.genflows.com/blog/apple-mail-privacy-protection-cold-email-2026).

Workflow reporting is not available on Close's legacy Base plan, per its help center.

## Where Workflows Stop

- **LinkedIn:** Close's Workflows page does not document a LinkedIn step. Run LinkedIn in a dedicated tool and sync it in, as we describe in the [HeyReach Close CRM integration guide](https://www.genflows.com/blog/heyreach-close-crm-integration-2026).
- **Archived leads:** archiving a lead pauses active runs, and on reactivation they fast-forward without the delay, so review them before reactivating.
- **Mass triggers:** Close can pause runs through rate limiting when too many triggers fire at once.
- **Routing:** replies still need an owner and a response-time rule. See our [lead routing and speed-to-lead guide](https://www.genflows.com/blog/lead-routing-speed-to-lead-2026).

## Close Workflows or HubSpot Sequences?

Close's own blog claims its automation ties tightly into calling and SMS, and that HubSpot has no built-in dialer or native SMS **(directional, vendor claim)**. We have not verified HubSpot's current limits against HubSpot's own documentation here, so read our [HubSpot Sequences vs cold email tools guide](https://www.genflows.com/blog/hubspot-sequences-vs-cold-email-tools-2026) and the [Close vs HubSpot comparison](https://www.genflows.com/blog/close-crm-vs-hubspot-outbound-sales-teams-2026) before deciding.

## Frequently Asked Questions

### Are Close Sequences and Workflows the same thing?

Close's current help center documents one automation feature called Workflows, with email, SMS, call and task steps. The older docs URL still says "sequences" and returns the same content, so many guides use the two words interchangeably. Close's page does not explicitly say one replaced the other, so we use "Workflows" and note the older name.

### Which Close plans include Workflows?

Close's docs say Workflows are only available on the Growth and Scale plans. Solo and Essentials do not include them, and its pricing page lists bulk email and the power dialer on the same two plans.

### What happens when a prospect replies?

If you set a goal such as incoming email, incoming SMS, incoming call, meeting booked or lead status change, the run pauses when it is met. Close then counts that contact as converted in reporting. Without a goal, the run keeps going, so set one on every outbound workflow.

### Can I enroll leads in bulk?

Yes. Close's docs describe bulk enrollment from the Leads or Contacts list views using the Workflow icon, as well as manual enrollment on a single record and automatic enrollment from triggers. Bulk emailing itself needs Growth or higher.

### Does Close limit how many emails I can send?

Close does not set its own cap. Emails go through your connected mailbox, so your provider's limits apply, and Close warns that sending more than 1,000 emails in 24 hours may cause your email server to halt outbound mail. For cold volume, spread sending across several mailboxes.

### When do automated messages go out?

By default on weekdays, at a random time between 9AM and 4PM in the contact's timezone. You can change the window and add blackout dates, which block only automated email and SMS steps.
