TL;DR
If your LinkedIn outreach runs in Waalaxy or Expandi but your pipeline lives in HubSpot, the integration decides whether reps see replies in the CRM or copy them by hand. This guide compares what each tool actually syncs, how to trigger it, and where the gaps are.
Sourcing note: details come from each vendor’s integrations page, help center and Expandi’s pricing page. Anything we could not confirm on a vendor page is marked directional or listed as untested. We did not read HubSpot’s own docs for this post.
Pick Waalaxy if you want a point-and-click sync with trigger choices (on accept, on reply, on “interested” reply) inside a simple UI. Pick Expandi if you also need webhooks or Zapier to write to HubSpot exactly the way your RevOps setup expects. Both need testing for duplicates, because neither documents what it matches on. For a LinkedIn-first alternative with deeper CRM options, see our HeyReach HubSpot integration guide.
| Feature | Waalaxy | Expandi |
|---|---|---|
| Native HubSpot | Yes, labelled 2-way | Yes, automatic or manual |
| Webhooks | Not verified | Yes (invite, accept, reply events directional) |
| Zapier | Not verified on a vendor page | Yes |
| Plan gating | Paid plans (Pro, Advanced, Business) | Business, $99/mo or $79/mo annual, lists Integrations |
| Reverse direction (HubSpot to tool) | Contacts with a LinkedIn URL; a Make template exists | “Reversed Webhooks” article exists (not reviewed) |
| Key gap | Static lists only; property mapping undocumented | Payload fields and duplicate matching undocumented |
Setup is short: Settings, CRM Integrations, Connect App, authorize HubSpot, then optionally assign prospects to a HubSpot list. Per Waalaxy’s help article, the fields that can sync include first and last name, company name, phone, LinkedIn headline, location, LinkedIn profile URL, job title, prospect list, prospect stage, company website, company LinkedIn URL and tags.
You choose when a prospect syncs: when added to a campaign; only after they accept the invite; when they reply to a LinkedIn message (all replies, or only “interested” ones via Response Analysis); when they reply to an email; when Email Finder enriches them; or manually.
Not documented: how Waalaxy’s “prospect stage” maps to HubSpot lifecycle stage, and whether the LinkedIn URL lands in a standard or custom property. Create the property first and check where the data goes on your test batch.
Expandi’s integrations page lists HubSpot, Salesforce and Pipedrive as native, syncing LinkedIn leads and their interaction history automatically or manually. Beyond that it offers real-time webhooks for replies, connections and messages, and Zapier for thousands of other apps. A blog post (about two years old) lists the events as invitation sent, connection accepted and lead replied (directional).
The webhook route matters for RevOps teams. It lets you set lifecycle stage, create a HubSpot task or fire a workflow instead of accepting a fixed field map. Our HubSpot reply-handling workflow guide shows what to do once the event lands.
| Risk | Why it matters | How to test |
|---|---|---|
| Duplicate contacts | HubSpot dedupes on email; LinkedIn-only prospects have none (background knowledge, not verified for these tools) | Sync 20 contacts you already have in HubSpot |
| LinkedIn URL property | Neither vendor says where it lands | Create a custom property and check the result |
| Activity logging | Reps need replies on the timeline | Reply from a test account; look on the contact |
| Lifecycle stage | Wrong stage pollutes reports | Set stage with a HubSpot workflow, not the tool |
Messy inputs make every one of these worse. Run a pass from our CRM data hygiene guide first, and if email and LinkedIn data both feed HubSpot, follow the pattern in syncing cold email and LinkedIn data into HubSpot.

Yes, both list a native HubSpot integration. Expandi also supports webhooks and Zapier, so you can go beyond the native sync when you need custom logic.
A paid plan: Pro, Advanced or Business. A free or paid HubSpot account works. Check Waalaxy’s pricing page for current plan terms before buying.
In Waalaxy you choose the trigger: on campaign add, on invite accepted, on any or only “interested” replies, or on manual export. Expandi syncs automatically on triggers or manually.
It is possible. Neither vendor documents what it matches on, and LinkedIn-only prospects have no email for HubSpot to dedupe against (directional). Enrich emails first and sync a small test batch.
Expandi advertises “full interaction history” and Waalaxy shows action history on the contact. Neither documents whether this becomes HubSpot notes or engagements, so confirm in a test.
Use them when you need custom triggers or mapping the native sync lacks, such as setting lifecycle stage or creating a task for the rep on reply. Expandi supports both; for Waalaxy, confirm availability on a vendor page first.
